About Us
We are a rapidly growing Australian Interstate Removalist and Transport company servicing customers across Australia. We are seeking a highly organised, customer-focused, and proactive Virtual Assistant to assist with daily operations, customer service, bookings, scheduling, and marketing activities.
This is not a typical Virtual Assistant role. You will become a key part of our operations team and play an important role in ensuring customers receive exceptional service from enquiry through to job completion.
Essential Requirements
Experience
- Previous experience working for an Australian Removalist, Logistics, Transport, Freight, or Service-Based business is highly preferred.
- Experience in customer service, sales, scheduling, dispatch, or operations support.
- Experience handling Australian customers.
- Familiarity with Australian suburbs, cities, and interstate routes will be highly regarded.

- Excellent spoken and written English.
- Strong customer service skills.
- Ability to multitask and work in a fast-paced environment.
- Strong problem-solving abilities.
- High attention to detail.
- Strong organisational and time management skills.
- Ability to learn new systems and processes quickly.

Key Responsibilities
Customer Service & Sales
- Answer inbound phone calls from customers.
- Respond to enquiries via phone, email, SMS, Facebook, and website forms.
- Follow up leads and convert enquiries into confirmed bookings.
- Provide professional and friendly customer service at all times.
- Assist customers with interstate moving and transport enquiries.
- Handle customer concerns and resolve issues promptly.
Quoting & Bookings
- Prepare and send removalist and transport quotations.
- Understand moving requirements and accurately assess customer needs.
- Calculate pricing based on inventory, distance, access conditions, and transport requirements.
- Convert quotes into confirmed bookings.
- Manage booking confirmations and customer documentation.
- Collect and follow up deposits and final payments.
Operations & Scheduling
- Coordinate daily transport and removalist jobs.
- Assist with route planning and job scheduling.
- Liaise with drivers, removalists, subcontractors, and customers.
- Monitor job progress and ensure smooth operations.
- Update job management systems and CRM records.
- Assist management with operational planning and logistics coordination.
Marketing & Administration
- Create and manage social media content.
- Assist with Facebook advertising campaigns and lead management.
- Monitor online enquiries and social media messages.
- Maintain accurate customer records and reporting.
- Support administrative and operational tasks as required.
Phone Support
- Phone support is a mandatory component of this role.
- Applicants must be confident speaking with Australian customers.
- Professional telephone etiquette and clear communication skills are essential.
