The Executive Assistant provides high-level administrative support, ensuring efficient management of executive schedules, client coordination, and event logistics. This role is responsible for scheduling venues, coordinating with clients, and managing payments while maintaining professionalism and organizational efficiency.

Key Responsibilities:

  • Manage and coordinate executive schedules, meetings, and appointments.
  • Handle venue scheduling for events, ensuring availability and necessary arrangements.
  • Communicate with clients to confirm schedules, requirements, and special requests.
  • Oversee payment coordination, including invoicing, tracking, and follow-ups.
  • Assist in the planning and execution of corporate events and meetings.
  • Maintain organized records of schedules, transactions, and client interactions.
  • Prepare reports, presentations, and correspondence as needed.
  • Serve as a point of contact between executives, clients, and vendors.
  • Ensure timely follow-ups and updates on pending tasks and commitments.
  • Perform other administrative tasks as assigned.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Proven experience as an Executive Assistant or in a similar role.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office and scheduling software.
  • Ability to multitask and work under pressure.
  • Experience in event coordination and client relations is an advantage.
  • Attention to detail and problem-solving skills.

Must be amenable to work within Mother Ignacia, Quezon City.
