1. Calendar & Schedule Management
• Manage the executive’s calendar, including scheduling meetings, appointments, and travel.
• Prioritize and coordinate internal and external obligations to optimize time.
• Send reminders and ensure punctual follow-through on engagements.
2. Communication Management
• Screen and manage emails, calls, and messages on behalf of the executive.
• Draft, proofread, and edit emails, reports, and presentations.
• Serve as a point of contact between the executive and internal/external stakeholders.
3. Meeting & Event Coordination
• Prepare agendas, documents, and briefing materials for meetings.
• Take minutes and track follow-up items for internal meetings.
• Organize and coordinate events, conferences, or offsite meetings as needed.
4. Travel & Logistics
• Book flights, accommodations, transportation, and itineraries for business trips.
• Handle expense reports and travel reimbursements in a timely manner.
5. Project & Task Support
• Assist in managing special projects, conducting research, or preparing reports.
• Track deadlines and follow through on delegated tasks and strategic priorities.
• Maintain confidentiality on sensitive business matters and executive-level discussions.
• Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
• 2–5 years of experience supporting executives or senior managers.
• Excellent command of Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Slack, Google Workspace, Notion, Trello).
• Experience with travel booking and expense tracking platforms (e.g., Concur, Expensify) is a plus.
• Exceptional written and verbal communication skills.
