We are seeking a detail-oriented and organized Production Management Specialist to join our team and oversee the production of various live/face-to-face events. This role requires an individual with strong project management skills, an eye for detail, and the ability to handle multiple tasks in a fast-paced environment.

Key Responsibilities:

Manage all aspects of event production and supplier coordination from planning through execution, ensuring everything runs smoothly, on time, and within budget.

Event Planning & Coordination:

• Collaborate with clients, internal teams, and external vendors to develop and execute production plans for events of various sizes and scopes.

• Oversee the logistics of pre-production, including budgeting, timeline management, and resource allocation.

• Coordinate all event-related elements, such as venue selection, technical setup (audio/visual), staging, lighting, collateral materials, etc.

Budget & Resource Management:

• Monitor the event production budget and ensure resources are allocated effectively and within budget constraints.

• Source and negotiate with suppliers, vendors, and venues to secure the best rates and service agreements.

Event Execution:

• Oversee all logistical aspects during event execution, including load-in, technical rehearsals, event day coordination, and load-out.

• Ensure all technical equipment is tested, operational, and set up according to event specifications.

• Ensure creative materials are produced following the brand guidelines and approved proofing.

• Act as the primary point of contact to the event organizers and event agencies during the event, troubleshooting any issues that arise and ensuring timely resolutions.

• Engage confidently with the event attendees and demonstrate in-depth product knowledge and expertise

• Must be able to provide clear, accurate information to the attendees and address concerns with professionalism, promptly providing solutions or escalating as needed.

Post-Event Evaluation:

• Conduct post-event debriefings to assess performance, resolve any issues, and gather feedback.

• Compile and deliver post-event reports, including production costs, vendor performance, and recommendations for future improvements.

Qualifications: 

Education & Experience:

• Bachelor's degree in Event Management, Production, Hospitality, or a related field is preferred.

• At least 2 years of experience in event production, project management, or a similar role in the live event industry.

• Proven track record of managing and executing small to large-scale events.

Skills:

• Strong organizational, multitasking, and time management skills, with the ability to manage multiple projects simultaneously.

• High attention to detail and problem-solving skills.

• Ability to thrive in fast-paced, high-pressure environments.

• Excellent verbal and written communication skills.

• Solid understanding of event production processes, technical requirements, and vendor management.

• Knowledge of A/V, lighting, and staging equipment, as well as an understanding of production schedules.

• Proficient in production software and tools (e.g., Sketch up, etc) and Microsoft Office Suite.

Working Conditions:

• Remote; However, if there are events they are expected to report onsite to oversee production (ingress, implementation, egress, etc.)

• This position may require flexible hours, including evenings, weekends, and travel for on-site event management.
