Are you a driven operations leader with experience in visa facilitation or travel services? We’re looking for a highly organized and diplomatic Operations Manager to oversee the day-to-day operations of our Visa Application Centers for Oman and Qatar.


This role requires a keen eye for process management, team leadership, and maintaining strong service standards for both missions.


Business Relationship Management

  • Build and maintain strong relationships with diplomatic officials and key stakeholders.
  • Act as the main point of contact for mission representatives and embassy partners.


Visa Center Operations Oversight

  • Manage daily administrative and functional activities of the Visa Application Center.
  • Oversee document verification and ensure compliance with visa requirements.
  • Supervise cash handling and banking transactions (if assigned).
  • Ensure timely and accurate data entry of applications.
  • Coordinate passport logistics with missions, applicants, and logistics providers.


Quality Control & Accuracy

  • Conduct regular audits to identify errors or incomplete applications.
  • Implement corrective actions to maintain processing accuracy and reduce errors.


Customer & Client Satisfaction

  • Continuously improve customer experience and client satisfaction.
  • Drive innovations to enhance efficiency and service delivery.
  • Align teams with business goals to ensure service excellence.


Compliance & SOP Adherence

  • Ensure strict compliance with SOPs, contracts, and internal policies.
  • Monitor and enforce adherence to company guidelines and procedures.


Team Management & Development

  • Mentor, train, and support team members to optimize performance.
  • Facilitate regular product and process training for continuous learning.
  • Handle escalated applicant or customer concerns professionally.


Internal Collaboration

  • Coordinate with internal support teams to resolve queries and maintain operational continuity.


Productivity & Service Standards

  • Meet productivity targets and ensure timely delivery of value-added services.
  • Ensure all processing is completed within the mandated turnaround time (TAT).


Security, Health & Safety

  • Oversee physical and data security at the Visa Application Center.
  • Ensure compliance with environmental, health, and safety standards.


Qualifications

Education:

  • Bachelor’s degree (required)
  • Postgraduate degree (preferred)

Experience:

  • 2–5 years of experience in operations, preferably within visa services, travel, tourism, or service-related industries.
  • Experience handling both Qatar and Oman visa applications is a strong advantage.
  • Exposure to Middle East embassy operations or diplomatic coordination is preferred.


Other Requirements:

  • Strong leadership and people management skills.
  • Excellent communication and stakeholder engagement abilities.
  • Willing to work onsite in Makati.
