Executive Support
- Manage and maintain executive calendars, including scheduling meetings, appointments, and travel.
- Organize and prepare materials for internal and external meetings (agendas, presentations, reports).
- Serve as the primary point of contact between executives and internal/external stakeholders.
- Screen and manage incoming communications (emails, calls, inquiries).
Administration & Operations
- Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries.
- Prepare expense reports, track budgets, and manage invoices.
- Maintain and organize confidential documents, records, and files.
- Support the planning and execution of company events, board meetings, and leadership offsites.
Communication & Coordination
- Draft, review, and edit correspondence, reports, and presentations.
- Assist with cross-functional coordination and follow-ups on action items and deadlines.
- Build strong working relationships with internal teams and external partners.
Project Support
- Assist in research, data collection, and creation of executive briefs.
- Support strategic initiatives and special projects as assigned by leadership.
- Monitor project timelines and ensure timely execution of tasks.
Requirements
- Bachelor’s degree in Business Administration, Communications, or related field (or equivalent experience).
- 3–5 years of experience supporting senior executives or C-suite leaders.
- Strong proficiency in MS Office Suite and/or Google Workspace.
- Excellent communication, writing, and interpersonal skills.
- High level of discretion, confidentiality, and professionalism.
- Strong time-management, organizational, and multitasking skills.
- Experience in fast-paced, high-growth environments.
- Familiarity with project management tools (Asana, Trello, Notion, etc.).
- Ability to work independently and anticipate executive needs.
