Position Overview:


We are seeking a detail-oriented Billing & Invoice Coordinator to manage the daily review, verification, and delivery of customer invoices. This role is responsible for ensuring invoices are complete, accurate, and supported by the appropriate documentation before being sent to customers.

The ideal candidate thrives in a high-volume environment, has excellent attention to detail, and takes ownership of resolving billing discrepancies to ensure invoices are delivered accurately and on time.


 Key Responsibilities: 


  • Review and verify customer invoices before submission, ensuring billing information is accurate and complete.
  • Validate customer details, billing entities, bill-to information, purchase order numbers, payment terms, pricing, and account-specific billing requirements.
  • Verify that all required supporting documentation, including work orders, photos, certificates, purchase orders, and related records, is attached before invoices are sent.
  • Process approximately 50–65 invoice-ready jobs per day, ensuring same-day delivery whenever possible.
  • Monitor billing exceptions, bounced invoices, rejected portal submissions, and other billing issues, resolving them promptly.
  • Coordinate with internal teams to correct billing discrepancies and obtain missing information.
  • Maintain accurate daily exception reports and track outstanding billing issues through resolution.
  • Submit invoices through customer billing portals when required.
  • Ensure billing activities consistently meet company quality standards and accuracy expectations.


 Qualifications: 


  • Minimum of 2 years of experience in billing, invoicing, or a high-volume transactional support role.
  • Experience processing high volumes of invoices while maintaining exceptional accuracy.
  • Strong attention to detail with the ability to identify discrepancies before invoices are sent.
  • Excellent written and spoken English communication skills.
  • Strong organizational, analytical, and problem-solving abilities.
  • Ability to manage multiple priorities while meeting daily deadlines.
  • Comfortable learning new software and working across multiple systems.
  • Proficient with Microsoft Office, particularly Excel.


Nice-to-Haves:


  • Experience with B2B or commercial invoicing.
  • Experience working with purchase orders (POs) and supporting documentation.
  • Familiarity with customer billing portals.
  • Experience reviewing work orders, service documentation, photos, and certificates prior to invoicing.
  • Proven track record of maintaining a high level of billing accuracy in fast-paced environments.
  • Comfortable completing a practical invoice-review exercise as part of the interview process.
